Scope

Description

The University of Staffordshire is seeking to invest in new, innovative approaches to student recruitment and retention through enhanced outreach and engagement activities.

The purpose of this tender is to appoint a supplier to provide a mobile gaming vehicle (via purchase or lease) for use by the University's Games Institute. The vehicle will be used to deliver interactive, high quality gaming experiences to prospective students across a range of outreach settings including schools, colleges, community events and on campus activities in Stoke and London.

The value of this notice includes an allowance for ongoing maintenance, support and usage for a period of 5 years

This procurement will be conducted in three stages:

Stage 1 - Conditions of Participation & Initial Tender Submission

Suppliers must submit:

Responses demonstrating compliance with Conditions of Participation (CoP) including:

Relevant experience

An Initial Tender, including:

Outline proposal for delivery

Initial pricing information

At the conclusion of Stage 1:

Suppliers will be evaluated against the CoP on a pass/fail basis

Initial tenders will be evaluated against the published award criteria

A shortlist of suppliers will be invited to progress to Stage 2

Stage 2 - Supplier Presentations and Dialogue

Shortlisted suppliers will be invited to participate in:

Structured supplier presentations

Clarification and dialogue sessions with the Authority

The purpose of Stage 2 is to:

Explore and test proposed solutions

Clarify aspects of tenders

Allow refinement of requirements where appropriate

Following Stage 2:

Suppliers will be scored based on presentation/demonstration criteria (as set out in the procurement documents)

A further shortlist may be taken forward to Stage 3

Stage 3 - Best and Final Offer (BAFO)

Remaining suppliers will be invited to submit a Best and Final Offer, which will include:

Refined technical proposals

Final pricing

Any agreed adjustments arising from dialogue

BAFO submissions will be evaluated in accordance with the final award criteria.
