Job Description

As an Accounting Administration professional, you will support onshore accountants by managing ATO and ASIC updates, maintaining compliance records, handling lodgements, updating workflow tasks, and ensuring accurate, timely administration across key tax and corporate systems.

  • The Qualifications We Seek

    Essential:

  • Minimum of 3 years of experience in accounting, tax, or professional services.
  • Strong accuracy and attention to detail in data entry.
  • Comfortable with ATO/ASIC portals and practice management systems.
  • Strong English communication skills.
  • Excellent organization and deadline management.
  • Proficient in Microsoft Office / Google Workspace.
  • Desirable:

    Experience with:

  • ATO Online Services / ATO Mate Portal
  • ASIC Registered Agent Portal
  • Practice workflow systems
  • Familiarity with PAYG, BAS, RNN, NOAs.

  • Your Daily Tasks

    ATO Mate Portal & ATO Administration

  • Maintain and update client details in ATO Mate Portal and ATO Online Services.
  • Download, save, and file ATO documents (running balance, ICA, assessments, PAYG notices, statements, etc.).
  • Assist in recording and tracking PAYG instalments across entities.
  • Update PAYG schedules and summaries for senior staff review.
  • Monitor ATO mail/notifications, file documents, allocate workflow tasks, and flag urgent issues.
  • RNN Lodgements & Tracking

  • Prepare Return Not Necessary (RNN) lodgement lists.
  • Lodge RNNs via ATO portals according to requirements.
  • Maintain RNN tracking registers (client details, periods, lodgement status).
  • Reconcile lodged RNNs with ATO records and escalate discrepancies.
  • ASIC Portal & Corporate Compliance

  • Maintain client records in ASIC Registered Agent Portal.
  • Update company details, download annual reviews, save documents.
  • Track ASIC due dates and invoices.
  • Prepare basic forms (address changes, officeholder updates).
  • Ensure consistent document naming and folder management.
  • Workflow & Deadline Management

  • Create, update, and allocate tasks in the workflow system.
  • Track job statuses and record deadlines for tax returns, BAS/IAS, PAYG, ASIC reviews.
  • Run and distribute workflow reports highlighting deadlines and overdue items.
  • General Administration & File Management

  • File ATO and ASIC correspondence following naming conventions.
  • Assist with new client file setup and data updates.
  • Prepare standard letters/emails from templates.
  • Maintain accurate logs of lodgements, updates, and call notes.
  • KPIs

  • High accuracy in data and lodgements.
  • Timely completion of tasks.
  • Full documentation compliance.
